Booking & Cancellation Policy.

By making a reservation with The Gap Retreat, you agree to the terms set out below. Please read them carefully - they cover booking, payment, cancellations, house rules and your responsibilities as a guest.

1. Booking and confirmation

A booking is only confirmed once a deposit or full payment has been received and an official confirmation email or receipt has been sent. The booking is made under the terms and conditions outlined here. By making a reservation, you agree to these terms.

2. Check-in and check-out

Check-in is from 2pm and check-out is by 10am. Early check-in and late check-out are subject to availability and may incur additional fees. Valid identification must be presented on check-in. No schoolies.

3. Payment

Full payment is due at the time of booking, unless otherwise stated. Accepted payment methods include payment via our secure gateway using a valid credit card. Any incidental charges incurred during the stay must be settled at check-out.

4. Cancellation & refund policy

At The Gap Retreat, we understand that plans can change. Our cancellation policy is designed to provide flexibility while ensuring we can continue to offer exceptional accommodation to all guests.

Free cancellation

Guests may cancel their reservation up to 30 days prior to their scheduled arrival date and receive a full refund of all payments made.

Cancellations within 30 days

Cancellations made within 30 days of the scheduled arrival date are non-refundable.

Changes to your booking

Requests to amend booking dates or guest details are subject to availability and must be made at least 30 days prior to arrival. While we will do our best to accommodate changes, they cannot be guaranteed.

No-shows & early departures

No refunds will be provided for no-shows, late arrivals or early departures.

Refund processing

Where a refund is applicable, it will be processed via the original payment method within 5 to 10 business days. Processing times may vary depending on your financial institution.

Exceptional circumstances

In exceptional circumstances, The Gap Retreat may, at its sole discretion, offer a booking credit or alternative dates. This will be assessed on a case-by-case basis and is not guaranteed. By confirming your booking, you acknowledge that you have read and accepted this Cancellation & Refund Policy.

5. Guest responsibilities

Guests must comply with all house rules and policies, including noise restrictions (quiet from 10pm), occupancy limits (maximum 4 per cabin), and our smoking policy (non-smoking property). No pets, no schoolies. Any damage or loss caused to the property by guests will be charged to the guest's account. The property is not liable for any loss or damage to personal belongings.

Guest charges & damages

Guests are responsible for any damage, loss, excessive cleaning, or additional costs caused during their stay. Charges may be applied to the booking payment method. The following charges may apply where relevant:

  • Bed-wetting replacement mattress$200
  • Cleaning fee$200
  • Rubbish removal$50
  • Smoking inside the property (cleaning and deodorising)$250
  • Unauthorised late checkout (per hour or part thereof)$50
  • Replacement of damaged or missing itemsat cost
  • Stained or damaged linen, towels or furnishingsat cost
  • Lost keys or access devicesat cost

Late checkout

Checkout is strictly by the agreed time. If guests remain beyond checkout without prior approval, a late checkout fee of $50 per hour or part thereof may be charged. Where late departure causes disruption to cleaning or incoming guests, additional costs may also apply.

Assessment and payment of charges

Any damage, loss or additional cleaning requirement will be assessed after checkout. Photos, invoices or contractor quotes may be used to determine the amount charged, and you will be notified as soon as reasonably practicable. Where charges apply, they must be paid promptly upon request. If payment is not received, The Gap Retreat reserves the right to recover the amount through the original payment method, security deposit, or any other lawful means. By confirming your booking, you acknowledge that you have read and accepted this Guest Charges & Damages Policy.

6. House rules

  • Smoking is not permitted within the property.
  • Pets are not allowed on the premises.
  • Quiet hours are from 10pm to 7am, during which guests are asked to keep noise to a minimum.
  • No schoolies.

7. Liability and indemnity

The property is not liable for any injuries, accidents or illnesses that occur during the stay. Guests assume all responsibility for their safety and that of any accompanying minors. Guests agree to indemnify the property against any claims, damages or expenses resulting from their stay or breach of these terms.

8. Privacy and data protection
